Federations

A federation is an umbrella organization that brings together various clubs, associations, or organizations with a common goal or interest. It offers support, coordination, and advocacy for its members and can provide services or resources to strengthen the functioning of the clubs.

Specifically for Federations, within Clubs, follow-up of:

  • Layered Structure: Federation and Departments
  • Member Management
  • Memberships – Federation contribution
  • Activity management – Federal and Interdepartmental activities
  • Communications
  • Reporting

Federation Setup

Within the Federation Setup, various settings are available in the Advanced Settings.
Some of these can be managed by the Federation Admin.
In addition, Klubs Admin can make one-time adjustments to additional settings; this is done in consultation, in line with the structure of the specific Federation.

Federation – Departments

In Klubs, the layered structure is divided into Main, the federation, and Sub, the departments.

Whereby the set-up of the Main club is important, as a number of elements are adopted here in each department.

Departments

The departments are separate entities (multi-clubs) that can operate independently of each other. And this in terms of:

  • Separate settings per club: branding, membership list, membership settings, accounting tracking, activity settings, ...
  • Completely separate communications: branding, e-mail texts, mailings, ...
  • Possible separate accounting follow-up
  • ...

In addition, the Koepel or main club is also a multi-club, with independent management.

Departments – Set-up

Adding departments is done based on the Main club set-up, where specific elements can be adopted.

Where the following matters are important:

  • Membership Types
    This is especially true for the Membership types linked to the federation level;
  • Meta fields on member profile
    This is for the joint management of specific profile information;
  • Maintaining the Corporate Structure (Company / Members)

Multi-club

The Multi-Club functionality allows you to have a layered structure (main & sub) and thus multiple clubs within a single Klubs installation.
There are two possible structures:

  • Dome Association
  • Federation

Dome Association

Umbrella associations are different entities under a joint organization, for example, different countries or departments within an alumni association, because they have specific branding, activities, and event locations.

The multi-club functionality offers the following options:

  • Separate settings per club: branding, membership list, membership settings, accounting tracking, activity settings, ...
  • Completely separate communications: branding, e-mail texts, mailings, ...
  • Possible separate accounting follow-up
  • Single sign-on for general management
  • Central GDPR management at the umbrella (federation) level
  • Opportunity for multi-club activities, setup and exchange

Use

With the handy selector at the top of the menu, you switch smoothly between the different Multi-clubs.

Members groups

The difference with Members groups (within a club) ?

This is used to have different categories of members, such as board members, young professionals, ...
Member groups is then mainly for invitations to specific target groups (within a club).

Review 2025

In 2025, a number of new functionalities and additional integrations will be introduced:

And many more "under the hood" updates and releases, such as

  • #shortcodes: addition of input fields (#price_members, #activityid, etc., especially for activities
  • Download: expansion and review of downloads: activity list, member list, memberships, etc.
  • Activities Type – External Organization: no RSVP buttons, other practicals
  • Test Emails: option to send test emails to specific email addresses
  • Privacy Statement: creation of a specific club version
  • General Terms and Conditions: option to publish the general terms and conditions
  • VAT Settings: additional option – Not subject to VAT

Preview 2026

In 2026, planned and certainly implemented (given that it is already being tested in part at a few try-out clubs).

  • Billit
    Integration of Billit for Peppol invoices, and also as a gateway to around 40 accounting packages.
  • Online Payments
    Expansion of Online Payments with Wordline Saferpay and Wordline Direct (GoPay/Ogone)

  • umbrella association Further expansion with umbrella activities, federation corporate structure, member reporting, 
  • Authority
    Development of Roles and Authorities for Federation/Sub Club, later than per operational functions
  • Surveys
    The evaluation function for activities is now a separate module, with separate communication, target groups, etc.

  • Webshop A full-blown webshop for members, with complete financial processing.

  • participation management, particularly attendance registration via QR code or ID

  • Newsletter Customizing the editor to integrate full HTML formatting

And also some Under the Hood updates

  • Hosting: on a separate Klubs server, for greater security and stability
  • Server: upgrade of the server configuration (LEMP stack)
  • Email reporting: detailed reporting of email communication, view of emails actually sent
  • Club reporting: member location via Google Maps, age pyramid, etc.

Renewal Member Journey


Membership renewal at your association

Hereby describing the typical steps a member and an association administrator go through, from initial application to annual renewal and financial follow-up.

Membership sign up

You can add new members to your association in three ways.

At Start-up - Member Import

When starting an association, you can bulk upload existing members using the import function. You have the option to immediately send a welcome email and a log-in invitation.

Alternatively, you can use a general mail campaign and ask members to activate their account using your unique link: yourclub.klubs.be/activate....

Via Admin - Manual Input

As an administrator, you can manually add new members in Klubs at any time. After adding, you can immediately send a welcome email with a log-in invitation.

Via Registration

Within Klubs a complete registration procedure with selection of required fields (also additional profile fields) and an approval procedure.

You can share a registration link on your website or social media. New members complete the mandatory profile fields themselves. Then the administrator can approve these registrations before the registration becomes final.

Membership Renewal

Renewal Process

Here continuity within the association is assumed; the renewal process is built on the expectation that most members will renew their membership. Management only needs to focus on the exceptions (members who do not renew).

You can do the renewal in two steps.
(if one wants to have the membership info and billing info changed beforehand)

1° Procedure Renewal - Changing Information
Start the renewal procedure. Members receive an email with a call to change their information (if necessary). This step does not yet forward invoices to accounting.
Pass through the Renewal functionality, without invoicing, or through Marketing Campaign.

2° Procedure Renewal - Invoicing
Repeat the renewal procedure. This time the data will be sent to accounting and invoices will be created.

Renewal Communications

At each renewal, members receive an e-mail with all relevant information. The content of this e-mail can be modified via Settings > E-mail texts > Administration > Membership renewal.

Membership Administration

In all of the above, there is a general procedure based on continuity, where therefore a majority of members will follow this general procedure (renewal, billing payment), and where therefore only the exceptions need to be dealt with separately.

Communications

With each renewal, a mail is sent to the member with info about this renewal.
The default mail is extracted from the Settings - Email texts.

Financial follow-up

Klubs provides automated financial tracking.

Invoice

For each transaction (membership, activities), Klubs creates a draft invoice in the accounting system through the interface. After checking it, you can finalize and send it. All necessary data, such as customer, billing and VAT information, are provided by Klubs.

Booking / Payment

In accounting, when an invoice is created, an entry is immediately created in a journal. This is then reversed when payment is received.

Follow up

Follow-up of the payment is done semi-automatically by reading the payment files (cepa) and matching the payments with the open entries created in the diaries.

For outstanding invoices, you can send automated reminders.

Treatment exceptions

If the membership invoice is not paid, you can change the Member status to expired and create a credit note if necessary.

Manners

Most clubs have sufficient personal data on the profile, stating First Name and Last Name.
However, some associations, particularly those with a significant number of members with noble names, prefer a more formal approach.
This is also common in the Netherlands, where names are written differently or alphabetized by the main name, for example: Noordwijk, van den.

Advanced Settings

In the advanced settings you can choose between

  • Default – First Name, Last Name
  • Formal – Prefix, First Name, Middle Name, Last Name
    (Titre, Prénom, Particule, Nom)

Member Profile

The member profile integrates formal etiquette into the display of member information.

Use

These rich traditions also bring with them a number of unique customs in the Klubs implementation.

Address – Listing

The address is made with the full name (and title), but listing is only done on the main component of the surname

  • Salutation: prefix, first name, middle name, surname (Princesse Elisabeth de Belgique)
  • Listing: family name (Belgium or Noordwijk, van den)

Family Membership

In these traditional associations one person is a member, and the partner then automatically has a Partner Membership (Membre Conjoint).
Implementation in Clubs then:

  • Member profile: both partners have a separate member profile under the same “family” name as Monsieur / Madame with the full birth name of the partner in the meta-fields if applicable;
  • Membership: a membership is also created for these partners for the same period, but the membership fee is usually € 0.00.

Subscriptions

Certain associations have series of lessons or subscriptions for which payment is made separately and in advance for the entire series.

This can now also be followed up in Klubs.

Subscriptions – Setup

Membership

A subscription is set up as a separate membership with the price being the cost of the Subscription.
Members who have signed up for this subscription will receive an additional membership in addition to their standard club membership.

Member Group

In addition, a Member Group will also be created for this Subscription.
With the same members as those who signed up for the subscription.

Control

The overviews of these specific Memberships and Member Groups can be checked to see if the numbers match.

Each member can also track his subscription under Memberships on his profile

The financial processing of these Subscriptions follows the standard procedure for Memberships.

Dashboard Configurator

The dashboard is the central hub of your club environment. With the Dashboard Configurator, you can decide which information is displayed and how it is presented. This allows you to easily select and add widgets or customize the layout to suit your personal preferences.

Settings

Configurator: At the top right of the Dashboard, there is a configurator icon (⚙) that opens the configuration screen.

Selection: In the configuration panel, you’ll see an overview of all available widgets (such as the activity list, forum discussions, or the online store). Choose which elements you want to display on your dashboard.
Layout: Drag the selected widgets to the desired column (left or right) to determine the vertical order.
Columns: Use the slider between the columns to adjust the width ratio between them. This allows you, for example, to give the most important information more space on the screen.

Media Library - Newsletters

The first new release in 2025 was the Media Library.

The Media Library brings together the different types of media from Clubs to then offer to members. The already previous Activity Media (photo reports) but also club media (documents, video, ...) and newsletters (via the Mail Campaigns).

  • After sending availability of the link
  • Inclusion in the Media Library

To activate the Media Library:
